Administrative Support Specialist

This recruitment is being used to fill two positions, and one requires Spanish bilingual skills.

The Department of Consumer and Business Services (DCBS) is a progressive business regulatory state agency dedicated to the mission of protecting and serving Oregon's consumers and workers while supporting a positive business climate. The department administers state laws and rules governing workers' compensation, occupational safety and health, financial institutions, insurance companies and building codes. The department has consumer protection and education programs, offices, and ombudsmen to help consumers, injured workers, and businesses.
These positions are with the Workers' Compensation Division (WCD). WCD administers, regulates, and enforces the laws and administrative rules governing the Oregon workers' compensation system.
These positions are represented by the Service Employees International Union (SEIU).

Here’s what you will do:
As an Administrative Support Specialist, you will support the Employer Compliance Unit (ECU) by:

  • Performing general office tasks and duties
  • Conducting ECU electronic system specific research
  • Interacting with internal and external customers and stakeholders through web based and telephonic means
  • Providing general clerical support, such as mailings and office technology upkeep

Here’s what you need to qualify:
Minimum Qualifications:

  • Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents;
OR

  • An Associate's degree;
OR

  • Graduation from a private school of business with a certificate AND one year of general clerical experience.
Required Skills (for one position):

  • Spanish bilingual skills are mandatory for one of these positions.  The successful candidate must be able to speak, read, write, and interpret Spanish fluently, and will earn 5% more than the salary listed on this announcement.
Requested Skills:

  • Experience gathering information from customers to help determine the type of services to meet the needs of the customer
  • Experience with repetitive data entry
  • Experience working with a variety of software and/or databases in an office setting
  • High aptitude for learning new things and an ability to pay attention to detail
  • Ability to work on tight deadlines in environments with shifting priorities and demands
  • Experience with records management, internal and external records requests, and electronic/hard copy records systems
